6. Discussion and Background
The Information Technology Department requests approval of a consolidated purchase order for annual hardware and software maintenance and support provided through Sidepath, Inc. for Fiscal Year 2026-2027. These renewals provide vendor technical support, software updates, security patches, and applicable hardware support necessary to maintain the reliability and security of the City’s technology infrastructure. Consolidating the renewals into one purchase order simplifies purchasing, support coordination, and payment processing.
The attached asset list includes support for Dell servers and storage; Palo Alto security firewalls; Ruckus network switches and wireless systems; Veeam backup and recovery software; Arctic Wolf Cylance endpoint protection; VMware virtualization software; and Wasabi cloud-based offsite backup storage.
Sidepath is a preferred vendor with various technology manufacturers and offers competitive pricing on their products and support services. Its established manufacturer relationships and familiarity with the City’s existing systems facilitate renewal management and technical support coordination. Purchasing through Sidepath allows the City to consolidate support renewals across multiple manufacturers while maintaining continuity of service.
The proposed renewals total $332,489.74, including an annual payment of $121,274.61 for VMware Cloud Foundation with vDefend under a five-year payment schedule covering 352 cores.
During the annual maintenance review, staff identified two Active Directory servers and two Veeam backup servers approaching the end of vendor support. Staff plans to replace these servers rather than extend maintenance on the existing equipment. The Information Technology Department will present a separate staff report to City Council later in the fiscal year requesting approval to purchase the replacement servers.
